NHS Test and Trace

NHS Test and Trace February 2021.

Organisations in certain sectors (where on-site service is provided) need to collect details of staff, visitors and clients who go to their premises. The record should be held securely for 21 days and then destroyed.

  • Name, contact number, date and time at the premises should be recorded. If a group is seen then the name and contact number of the lead member is enough. If a client is sees one member of staff then record staff member alongside client.


  • Record either on paper or digitally. Anyone entering 3 Market Place can scan the Covid-19 QR code displayed at the entrance to the premises using the NHS Covid-19 app.


  • People can opt out and then their details would not be shared with NHS Test and Trace


  • Holding record for 21 days allows for 14-day incubation and 7-day for T and T to contact.


  • After 21 days dispose of information.


  • GDPR allows you to collect and share with NHS T and T. It is not necessary to obtain consent but you should make it clear as to why the information is being collected and what you do with it. Can display a notice and on website rather than asking each time. Describe in what circumstances it might be accessed.


  • NHS T and T will ask for information only if someone tests positive for Covid-19 and listed TAB premises as a place they visited recently or if the premises becomes a location of an outbreak.


  • NHS T and T will call from 03000135000 or from NHStracing.
